Mastering Effective Prompts for Facility Managers

Prompting Guidelines and Templates for Seamless Communication

👋 Hey there, welcome to your weekly dose of facility management tips and valuable insights Let’s see what’s in store for us today.

Many hands make the work lighter. 👐

As a facility manager famously wears many hats, they surely require many hands.

In the age of AI, who needs many hands when we have our very own ChatGpt, our assistant buddy? But this buddy is only as good as you prompt it.

Just for your information, our old friend Google, too released an assistant buddy called Bard, who is no less than ChatGpt.

So let's explore some techniques that can help us better tame this beast. These prompting techniques work with all AI assistants.

Clear and Concise: Who doesn't love clarity? So does your assistant. Give clear and straightforward instructions of what you want, and I am sure it will follow them to the T.

Specify the Desired Format: Whether you want it in tabular format, presentation format, technical, or informal, don't be shy—just say it.

Use Examples: Give it some grace, show it what you have in mind. Provide examples in your prompt for it to give you the desired output.

Correct Mistakes and Give Feedback: Take it easy; we all make mistakes. Correct them if they are wrong, provide feedback, and see their responses improve.

One step at a time: Baby steps, dear. The best prompting technique is to start with the least amount of prompts and gradually increase your instructions.

To help you better train your assistant without thinking about prompts, here is a template that we made especially for you.

"I want you to act as a facilities manager. I will provide you with a list of tasks, and you will be responsible for implementing them. My first request is 'Insert your request here.'

Example: I want you to act as a facilities manager. I will provide you with a list of tasks, and you will be responsible for implementing them. My first request is 'I need help developing this month's technical report for the client XYZ. Present it in presentation format.'

Use the above template and let the magic unfold. Keep increasing your instructions until you are satisfied with the outcome. Keep the same prompt and just keep changing your request.
